3. HOW WE USE YOUR PERSONAL DATA AND OUR LAWFUL BASES

Under UK data protection law we must have a "lawful basis" to use your personal data. The list below explains how we use your data and the lawful basis for each use.

- To respond to your enquiry, provide a quote, and discuss your project with you — taking steps at your request prior to entering into a contract; our legitimate interests in answering enquiries.

- To carry out a survey, supply and install glazing products, and otherwise perform a contract with you — performance of a contract with you.

- To keep records of quotes, orders, invoices and customer correspondence — performance of a contract; compliance with our legal obligations (including tax and accounting); our legitimate interests in keeping accurate business records.

- To operate, secure and improve our website and services — our legitimate interests in running a secure, reliable website and improving the user experience.

- To use analytics cookies to understand how our website is used — your consent (which you can withdraw at any time).

- To deal with complaints, exercise or defend legal claims, and comply with legal or regulatory obligations — compliance with a legal obligation; our legitimate interests in protecting our business.

4. WHO WE SHARE YOUR PERSONAL DATA WITH

We do not sell your personal data. We may share it with:

- Our staff and authorised contractors who need it to provide a quote, carry out a survey, or supply and install your glazing.

- Service providers who support our business, including our website host, IT and email providers (including Microsoft 365), accounting and bookkeeping providers, and analytics providers.

- Suppliers and manufacturers where necessary to fulfil your order (for example, to order made-to-measure units in your specification).

- Professional advisers such as accountants, insurers and lawyers, where necessary.

- Law enforcement, regulators or other authorities if we are required to do so by law or to protect our rights.

- A buyer or successor in the event we sell or transfer all or part of our business.

We require all third parties who handle personal data on our behalf to do so in accordance with our instructions, the UK GDPR and appropriate confidentiality and security obligations.

5. INTERNATIONAL TRANSFERS

Some of our service providers (for example, Microsoft for email and cloud services, or analytics providers) may process personal data outside the UK. Where this happens, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or transfers to a country covered by UK adequacy regulations.

6. HOW LONG WE KEEP YOUR PERSONAL DATA

We keep your personal data only for as long as necessary for the purposes set out in this policy. Typical retention periods are:

- Website enquiries that don't lead to a quote or contract: up to 12 months from the date of your enquiry.

- Quotes and customer records: for the duration of any guarantee period and for up to 6 years after the end of our relationship, in line with our legal obligations and to deal with any claims.

- Accounting and tax records: at least 6 years, as required by HMRC.

- Website analytics data: in line with the retention settings of the analytics tool used (typically up to 26 months).

When we no longer need your personal data, we will delete it or anonymise it.

To exercise any of these rights, please contact us at caroline@eyeconicglazing.onmicrosoft.com. We may need to verify your identity before responding. We will respond within one month, although we may extend this by a further two months for complex requests.
